What This Integration Enables

Agents run the billing cycle end to end. They create, update, and delete clients, build invoices from line items and send, mark, or archive them through the bulk-action endpoint, and record payments and apply them to specific invoices. They generate quotes for new leads and approve them once the client accepts, and they sync a product catalog and keep recurring invoices in view for reporting. Because records use hashed ids and deletes are soft, the agent works the way the platform does. It handles the routine invoicing and stops before a large or unusual invoice goes out.

Deal to invoice

A deal is won in the CRM. The agent pulls it with [Pipedrive](/integrations/pipedrive) "Get Deal By ID", then chains Create Client and Create Invoice to bill the customer with the right line items, and notifies them through [Gmail](https://api-docs.invoicing.co/). Billing a closed deal stops being a manual re-entry and becomes a step the agent completes as the deal closes.

Recording a confirmed payment

A charge confirms in your payment processor. Triggered from a [Stripe](/integrations/stripe) payment, the agent calls Create Payment to record the amount and apply it against the matching invoice. The reconciliation that meant opening two systems and matching by hand happens in the flow, so the invoice's balance stays accurate.

Quote acceptance to billing

A client accepts a quote. The agent calls Approve Quote to mark it accepted, alerts the sales team with [Slack](/integrations/slack) "Send Message To Channel", and creates the invoice with Create Invoice so the client is billed. Accepted quotes stop slipping through the cracks between sales and billing.

Human-in-Loop Highlight

In Invoice Ninja most of the cycle is safe to automate: creating clients, recording payments, and building invoices all leave the customer relationship intact. The moment worth a person's eyes is sending an invoice that is large or out of the ordinary, because a wrong figure that reaches a client is awkward to walk back. Configure a threshold: any invoice above a set amount, or one that does not match the deal it came from, pauses before it sends. The agent routes it to a person through Slack with the client, the total, and the line items attached and asks: "This invoice is ready to send to the client shown. Send it?"
